Accreditation of media representatives at the International Arctic Forum (IAF) is carried out in order to ensure appropriate conditions for media representatives to prepare and disseminate complete and accurate information about events held as part of the IAF.

Media accreditation is essential in order to attend and work at any IAF event.

While carrying out their work, media representatives must respect the rights and lawful interests of IAF participants and staff, and comply with generally accepted ethical standards.

In an effort to ensure the most comfortable working conditions and prompt access to all necessary resources, and in view of the considerable media interest in the IAF and the limited infrastructure capabilities of the event venue (FEFU), the number of media representatives that the IAF is able to accommodate is limited.

The IAF will adhere to all COVID-19 safety requirements and recommendations set out by the Federal Service for the Oversight of Consumer Protection and Welfare (Rospotrebnadzor).
The IAF organizing committee reserves the right to set the number of accredited media representatives based on sanitary and epidemiological requirements.

Accreditation of media representatives

Accreditation procedure
Both Russian and international media representatives can apply to participate in the IAF, subject to the following conditions:
- Russian media organizations must be registered with the Federal Service for Supervision of Communications, Information Technology, and Mass Media (Roskomnadzor)
- For international media representatives:
- Those who normally work in the Russian Federation must be accredited by the Russian Ministry of Foreign Affairs
- International media representatives not accredited by the Russian Ministry of Foreign Affairs may request temporary accreditation from the ministry in addition to submitting an application via the official website

Accreditation quotas for media representatives
- Print publications:
- Newspapers: 3 people (2 journalists, 1 photographer)
- Magazines: 2 people (1 journalist, 1 photographer)
- News agencies: 4 people (2 journalists, 2 photographers)
- Online publications: 2 people (1 journalist, 1 camera operator)
- Television channels: 7 people (2 journalists, 1 producer, 2 camera operators, 2 sound technicians)
- Radio stations: 2 people (2 journalists)
The number of permitted media representatives from IAF media partners will be determined in accordance with their media partnership agreement

Submission and review of accreditation applications
- Media representatives wishing to cover IAF events, as well as representatives of specialized and niche publications wishing to cover a specialized event in the IAF business programme, can submit an accreditation application via the official IAF website (https://forumarctica.ru/en/).
- Applicants should complete all fields of the application form, paying particular attention to the mandatory fields marked with an asterisk.
- Applications can be submitted via the official IAF website from 1 March to 18 March 2022.
- Please allow at least 10 calendar days from the closing date for your application to be reviewed.
- Media accreditation is valid for the entire duration of the IAF.

Issuing accreditation badges for media representatives
- Once their registration application is approved by the organizing committee, media representatives will receive an accreditation badge.
- Accreditation badges are issued at accreditation points in Saint-Petersburg and Moscow. Information about accreditation point locations and operating hours is published on the official IAF website.
- Accreditation badges may only be issued under the following conditions:
- There is a record of a confirmed accreditation in the IAF database
- Written consent to processing personal data has been provided
- A valid passport is provided at the accreditation point (all passport information must match the information provided on the application form), and:
- For Russian media representatives: upon presentation of media credentials or, in the case of a badge being collected by a representative under power of attorney, upon presentation of a passport copy, together with an official letter on the media organization’s letterhead with the signature of the head of the organization, and the organization’s official stamp (sample letter)
- For international media outlets accredited with the Russian Ministry of Foreign Affairs: upon presentation of a Russian Ministry of Foreign Affairs accreditation card or, in the case of a badge being collected by a representative under power of attorney, upon presentation of a passport copy, together with an official letter on the media organization’s letterhead with the signature of the head of the organization, and the organization’s official stamp (sample letter)
- For international media outlets not accredited with the Russian Ministry of Foreign Affairs: upon presentation of media credentials (press card)
- The badge is issued to a specific individual and is not transferable during the IAF. The badge must be clearly displayed at all times while at the IAF venue.
- No other accreditation cards are valid for access to the IAF venue.
- In the event that the accreditation badge is lost, stolen, or damaged, media representatives must immediately notify staff at an information stand. Lost badges will be blocked. A duplicate badge will then be issued upon written application.

Rules and regulations for access to IAF events
- Media accreditation is essential in order to attend and work at any IAF event.
- Access for media representatives’ technical staff is granted according to the rules regarding technical staff access to the IAF venue.
- In order to access the venue, media representatives and technical staff must follow all sanitary and epidemiological requirements set out by Rospotrebnadzor. These will be published on the official IAF website in due course.

Refusal of accreditation
The IAF organizing committee reserves the right to refuse accreditation to the following:
- Persons who are not media representatives and do not hold the positions specified in point 2.2 of these rules.
- Representatives of media organizations specializing chiefly in advertising, classified directories, or any highly specialized area not related to the topics covered at the IAF, with the exception of industry-specific publications.
- The IAF organizing committee reserves the right to refuse accreditation without explanation.

Rights and responsibilities of accredited media representatives at IAF
- Media representatives accredited at IAF may do the following:
- Make use of all services intended specifically for journalists.
- Obtain information on official IAF events and exhibitions (through press releases, the business programme, etc.).
- Work at the IAF press centre during official events and use the facilities of the IAF press centre.
- Participate in press conferences, briefings, and other press events.
- Verify the accuracy of any information they are given.
- Honour the requests of those providing information with regard to naming sources.
- Accredited IAF media representatives must do the following:
- Comply with all sanitary and epidemiological rules at the event venue. Any media representatives who fail to do so may have their accreditation badge rescinded.
- When receiving information from officials and others, inform them that an audio/video/film/photo recording is being made.
- Present professional or other identification verifying their identity and media credentials while carrying out their work upon first request.
- Refrain from using the opportunities granted to them to conceal or falsify socially significant information, or collect information to benefit a third-party or non-media organization.
- Refrain from (stop) filming or taking photographs when asked to do so by a member of IAF security.
- Refrain from distributing print materials within the IAF venue without the explicit permission of the IAF organizing committee.
- When using official information or quoting IAF participants, observe the IAF Acknowledgment Policy. Specifically, finished articles or pieces must contain a reference to the IAF, and the source of the information must be cited. Online coverage should include a link to the official IAF website (https://forumarctica.ru/en/). Alteration, embellishment, or distortion of any copied (cited) information is prohibited.
